Job Description

 

Reports to: Purchasing Manager

Based in: ABCO Headquarters

Job purpose:  To actively participate in inventory management, purchase order management, and purchasing support functions and special projects, in order to effectively develop and enhance ABCO’s inventory availability and accuracy.  This will directly contribute to ABCO’s mission of exceeding customer’s highest expectations by:

  • Ensuring that inventory and purchase orders are maintained and updated in an accurate and timely manner, ultimately ensuring that up-to-date inventory and product information is available for customers.
  • Supporting the Purchasing Department’s administrative functions, allowing the department to remain organized and functioning in an efficient manner, in order to effectively support the Sales team in providing ABCO customers with the high quality service to which they customers have become accustomed.
  •  Assisting the Purchasing Manager with special projects to develop and enhance the Purchasing department functions and operations.

Requirements:

  • Experience:at least one year experience in a Purchasing or Procurement department preferred
  • Education:Bachelor’s Degree required.  Degree in Business, Supply Chain Management, or a related field preferred.

    • Proficient with Microsoft Suite, with a focus on Microsoft Excel

Key responsibilities and accountabilities:

  • Inventory Management
    • Performs item maintenance
      • Imports data such as supersede records, substitutes, options and posting counts
      • Synchronizes data between different operating systems and physical files
      • Uploads min/max, freeze records, and thresholds
      • Creates files that adhere to specific IT specifications to allow for uploads through various programs
    • Coordinates moving stock from older item codes to new item codes at both the branch and the distribution center levels, enabling the inactivation of the outdated item codes
    • Manages the Non-Stock report
      • Moves inventory from non-stock to stock when an item has been coded
      • Reviews any exceptions that may occur due to an order entry error
  • Purchase Order Management
    • Masters basic purchasing skills, including PO entry, receiving and inquiry functions
    • Aids in the approval of non-stock PO approval once it is centralized to purchasing
  • Administrative Support
    • Provides administrative support to the department, including, but not limited to:
      • Cleaning up open transactions in SX Enterprise, addressing open customer orders, returns, branch to branch transfers and vendor purchase orders
      • Supporting billing processes, both for branch orders and direct shipments

 

  • Vendor Returns and Recalls
    • Oversees vendor return process, ensuring that returned inventory items are sent back to the vendor in an efficient and timely manner
      • Coordinates with personnel at internal warehouse locations to return specified inventory to the DC for transport to the vendors
      • Ensures that deadlines set by vendors are met in order to receive credit
    • Oversees recall process, understanding and conveying to others the urgency and timeliness that must be associated with product recalls
      • Tracks down inventory by utilizing serial numbers
      • Reviews details of open and processed transactions in order to identify recalled items

 

  • Contact Management
    • Updates buyers’ contact guides
      • Updates vendor information, including terms and reps
      • Creates a separate file for each vendor’s return policy
      • Separates vendors and reps by region
    • Maintains a master contact list for the purchasing department
      • Creates a contact list for customer service
  • Special Projects
    • Performs rebalances at various points throughout the year, addressing all product lines in the process
      • Ensures that min/max levels are set up properly at the time of the rebalance in order to avoid any inventory from bouncing back and forth between branches
      • Checks and adjusts the status of items on both the branch and corporate level, so that items can be purchased and sold correctly
    • Performs warehouse clean-ups to better organize each branch’s inventory levels and ensure the most efficient use of storage cubes
      • Utilizes knowledge of min/max to properly manage warehouse cubes
      • Ensures that the branches do not receive auto-transfers for inventory they do not want/need
    • Performs force invoicing for RG’s, as necessary
    • Performs billing for COD customers for returns, and coordinates movement of inventory accordingly
